From July's perspective, September feels so distant. But roughly eight weeks from now fall programming will launch anew. Summer is your window to prepare for new families, full classrooms, and volunteers who need great systems that will make their job easier.
Children's ministry launches smoothly when the systems, people, and spaces are ready well before the first Sunday. Summer gives you the breathing room to build those foundations without the distraction and pressure of weekly programming. Evaluating and improving systems now isn't a make-work project—it's all about creating margin in the future. When you prep now, you lead from a posture of care rather than scrambling to catch up.
Here's how to tackle this summer, organized by month so nothing gets overwhelming.
July: People & Policies
1. Volunteer Screening
Start here. Background checks and certification updates take time, and you need your team in place before September.
- Review your current volunteer roster. Who's returning? Who needs to step back? Who's new? Make a list of gaps you need to fill—specific roles, specific Sundays.
- Run background checks for new volunteers. Criminal record checks and vulnerable sector screenings are non-negotiable for anyone working with children. Submit requests now so results arrive before fall programming starts.
- Track certification expiry dates. If your team has completed child safety training in the past, check when those certifications expire. Sunergo lets you set reminders for renewals—many certifications need to be refreshed annually or every few years.

- Revisit your child protection policy. When was it last updated? Does it reflect your current practices? Are there gaps? This document should cover screening requirements, supervision ratios, drop-off and pickup procedures, and how to respond to concerns or incidents.
- Clarify pickup authorization. Who's allowed to pick up which children? How do volunteers verify identity? What happens if someone unauthorized arrives? Verify this information with parents, and make sure it is logged in each child’s profile so volunteers can check at a glance.
- Document allergy and medical information procedures. Where is this information stored? Who has access? How do volunteers know about allergies before an activity starts? Hint: all this info goes in Sunergo too! Clear systems prevent emergencies.
- Create a summary sheet for new volunteers. Policies matter, but a 15-page document can overwhelm someone just starting. Pull the essentials into a one-pager: ratios, pickup protocol, emergency contacts, and where to find help.
August: Systems & Spaces
3. Check-In Systems
A smooth check-in experience sets the tone for the entire morning.
- Test your check-in process. Run a test on check-in and check-out before the first Sunday. Make sure printers work, labels print correctly, and volunteers know how to use the system. 4. Physical Space
Walk through your children's ministry areas with fresh eyes.
- Check safety basics. Are outlets covered? Are heavy items secured? Is the first aid kit stocked and accessible? Are cleaning supplies locked away? Small fixes now prevent bigger problems later.
- Organize supplies. Sort through craft bins, replenish basics, and toss anything dried out or broken. Label storage clearly so substitute volunteers can find what they need.
- Refresh the environment. Does the space feel welcoming? Are decorations current or leftover from three years ago? Clean, bright, organized spaces communicate care.
5. Communication
Get parents and volunteers on the same page before September.
- Send a welcome-back message to families. Let them know when programming resumes, what to expect, and any changes from last year. Include details about check-in procedures, what kids should bring, and how to contact you with questions.
- Confirm volunteer schedules. Reach out to your team requesting their fall availability. Leaders can send a reminder email from Sunergo.
